Patron Services Manager

Reports to: Producing Artistic Director

Hours: Part-time, 30-35 hours per week

Salary: $25,000-$30,000, depending on qualifications

Benefits: Health insurance (ICHRA); flexible working hours around some firm commitments; MUST be available evenings & weekends during productions; hours fluctuate between daytime, nights, and weekends depending on production schedule. Hybrid office/home.

The Patron Services Manager (PSM) serves as a primary point of contact between Open Eye Theatre (OET) and its community of artists and audiences. The PSM is responsible for nurturing patron relationships, overseeing and managing all areas of box office and front of house, financial report functions, monitoring, and reconciling data,and providing administrative support to the organization.

Additionally, the PSM seasonally provides support to Open Eye’s summer community program, the Driveway Tour by scheduling the shows with community partners and coordinating schedules and communication with the artists.

Working with the Producing Artistic Director (PAD) and other staff, the PSM plays a key role in creating a sustainable and financially sound organization with strong community engagement.

Essential Functions

Box Office Management:

  • Have primary responsibility for managing software tools (Altru/Blackbaud) to support event sales and tracking of patron data.

  • Set up and oversee all aspects of ticketing including single ticket and group sales, comps, gift certificates, etc.

  • Reconcile show and concession receipts and run sales reports.

  • Prepare weekly deposits for the theatre.

  • Assess OET ticketing needs with a focus on accurate reporting of patron data, make recommendations and locate appropriate solutions based on customer needs and desires.

  • Manage and monitor box office phone system.

  • Maintain knowledge of current sales and promotions, policies regarding payment and exchanges, and security practices.

  • Lead and manage communication to patrons on all matters, including unusual circumstances (canceled/rescheduled performances, public health policy issues, etc.)

Front of House Duties:

  • Staff box office assistants, including seasonal help, while staying within budget.

  • Train box office assistants on procedures, software, credit card processing, resolving difficult situations with patrons.

  • Schedule, train and supervise volunteer ushers.

  • Serve as primary point-of-contact for patron needs.

  • Organize patron reservations prior to each performance.

  • Ensure lobby and theater space is prepared before and maintained after each performance, including bathrooms, trash, chairs, and general tidying up.

  • Ensure a procedure of house opening for each performance in conjunction with the stage manager.

  • Maintain professional composure with patrons at all times.

  • Monitor box office email account

Donor and Communication Management:

  • Assist with board communications and meeting setup.

  • Support development function via generating mailing lists for campaigns, logging of gifts in database, printing acknowledgement letters and sending acknowledgement emails.

  • Maintain and correct data as necessary in database

  • Support special events and other duties as assigned.

Driveway Tour (DWT) Management:

  • Book and record data of the tours including

    • Updating show schedule internally and on public website, updating host information and statistics from the tour.

    • Distribute and analyze results of Surveys and provide results to Management

  • Supervise and train the Driveway Tour managers on host relationship etiquette, customer service, collection and management of data at performances (including statistics, financial, and experiential information).

  • Provide all DWT statistics and metrics needed for grant applications

  • Track all shows for host-types and send invoices, log deposits and see that all shows are accounted for financially.

  • Organize end of summer party with management and board.

  • Organize end of summer ice cream social for community

  • Monitor Driveway Tour email account

General Office Management:

  • Order office supplies and special items when requested.

  • Update organization’s outgoing voicemail message

  • Monitor general information email account


Experience and Skills

  • Bachelors or Associate Degree preferred, but not required

  • Demonstrated experience in Box Office management strongly preferred, but able to train

  • Previous experience with box office ticketing system preferred but not required

  • Previous experience with cash handling

  • Detail-oriented individual with the ability to deal with multiple projects simultaneously

  • Strong interpersonal and communication skills, both oral and written

  • Computer proficiency-Microsoft Office Suite (Word, Excel, Access, Outlook)

  • Strong attention to detail and accuracy

  • Must be able to manage a team of box office workers and volunteers without supervision

  • Possesses a positive attitude and a willingness to wear multiple hats

  • Able to prioritize, be flexible, and adaptable

  • Must be able to lift up to 25lbs.

  • Theater education/administration experience preferred
